The Opportunity

We are seeking a highly organized, professional, and outgoing Sales & Marketing Coordinator to support business development initiatives, client relationship management, networking activities, and executive-level administrative functions. This role will work closely with the Vice President to identify new business opportunities, strengthen industry relationships, coordinate meetings and events, and help drive company growth through strategic networking and marketing efforts.


Key Responsibilities

Sales & Business Development Support

  • Manage communications with prospective and existing clients.
  • Track sales leads, opportunities, and client interactions.
  • Assist in identifying and researching new business opportunities.
  • Coordinate follow-up activities and maintain strong client relationships.
  • Support marketing and networking initiatives to increase brand awareness and business growth.

Communication Management

  • Draft, review, and respond to correspondence on behalf of the Vice President.
  • Manage incoming inquiries and ensure timely responses.
  • Maintain professional communication with clients, vendors, and industry partners.

Meeting & Calendar Coordination

  • Manage the Vice President's calendar, including scheduling appointments, meetings, and networking events.
  • Coordinate meetings with internal teams, clients, and external stakeholders.
  • Prepare agendas, presentations, and meeting materials.
  • Attend meetings as needed, document meeting minutes, and track follow-up action items.

Research & Reporting

  • Conduct research on potential projects, market opportunities, and industry initiatives, including reconstruction projects, SB326 compliance projects, and other business development opportunities.
  • Compile information and prepare reports, summaries, and presentations for leadership review.
  • Monitor industry trends and identify opportunities for growth and strategic partnerships.

Networking & Event Coordination

  • Represent the company at networking events, industry associations, and service organizations.
  • Build and maintain relationships with key industry contacts and referral partners.
  • Assist in planning and coordinating company events, conferences, seminars, and client appreciation events.
  • Manage event logistics and ensure successful execution.

Confidentiality & Administrative Support

  • Handle confidential business information with professionalism and discretion.
  • Maintain compliance with company policies regarding confidentiality and data privacy.
  • Provide executive-level administrative support to the Vice President as needed.


Qualifications

  • 2+ years of experience in sales support, marketing, business development, executive administration, or a related role.
  • Strong interpersonal, networking, and relationship-building skills.
  • Excellent written and verbal communication abilities.
  • Highly organized with strong attention to detail and follow-through.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency in Microsoft Office Suite, CRM systems, and business communication tools.
  • Professional demeanor with the ability to represent the company at networking and industry events.


Preferred Qualifications

  • Experience in construction, property management, restoration, engineering, or related industries.
  • Experience coordinating events, client meetings, and executive calendars.
  • Familiarity with project research, proposal preparation, and business development activities.
